Timeline

Participation

Who covers travel and accommodation costs?

Participants are responsible for covering their own travel, accommodation, and subsistence costs.

Who can participate and present?

Participants and speakers may include students, PhD candidates, academic and administrative staff from SEA-EU partner universities, as well as specially invited guests.

How can I finance my travel?

Authors who submit abstracts will be informed via the conference platform and email whether their university will fund their mobility, as each SEA-EU university decides independently and supports only a limited number of speakers.

Is there a participation fee?

Participation in the conference is free of charge.

Registration

How can I register?

Registration is carried out via a dedicated online platform.

Each participant must: create an individual account, provide the required personal data, register using their official university email address.

When does registration open?

Stage I (11 March – 30 April): Registration is open exclusively to participants submitting abstracts.

Stage II (15 June – 30 August): Registration opens for participants without presentations, co-authors of abstracts, and invited guests.

Technical Guidelines for Presentations

On site

Presentations are limited to 12 minutes and must be uploaded to the conference platform by 31 August in PDF format. Please note that no changes or updates will be accepted after the submission deadline. A Q&A session will be provided at the end of each panel.

Online

Poster

A0 format (841 × 1189 mm), portrait orientation. It should include: the title of the work, authors' names and affiliations, introduction, objectives, methodology, results, conclusions, figures, graphics and charts.It must be uploaded to the conference platform in PDF format no later than 31 August.

Before the Conference

Welcome Desk

All participants are required to check in at the Welcome Desk upon arrival. The Welcome Desk will be located near the entrance of each conference venue.

Conference badge & QR Code

Upon registration, participants will receive a conference badge. Each badge will include a QR code providing direct access to the conference programme.

Certificates

Only presenters will receive an electronic certificate confirming the presentation of an oral presentation or poster. Certificates will be issued after the conference and sent by email.

Wi-Fi Access

We recommend configuring eduroam before your arrival. The network is available throughout the University of Gdańsk campus and at most European universities, allowing participants to access Wi-Fi using their home institution credentials.

Social Events

Refreshments & Lunches

Coffee breaks (20 minutes) and lunches (40 minutes) will be provided throughout the conference programme, offering participants dedicated time to recharge between sessions.

Concert & Cocktail Reception

All conference participants are warmly invited to join us on Tuesday evening for a special concert followed by a cocktail reception.

Guided Tours of Gdańsk

On Wednesday, guided tours of Gdańsk will be offered to conference presenters. Participation is reserved exclusively for registered speakers and poster presenters.
